How to manage paint odour in occupied commercial spaces

Painting an occupied commercial space without managing odour properly puts staff at risk and disrupts productivity. The right product choices, ventilation strategies and scheduling can keep fumes under control.

Paint odour in an occupied commercial space isn't just unpleasant. It can trigger headaches, nausea and eye irritation within minutes of exposure, and volatile organic compounds (VOCs) from standard solvent-based paints have documented health effects at sustained concentrations. When a Melbourne office, retail floor or healthcare facility needs repainting without a full closure, managing those fumes becomes as critical as the colour choice or the finish.

The problem is that most painting schedules treat odour as a nuisance rather than a constraint. It gets acknowledged, and then ignored until someone complains. A proper plan addresses it before the first tin is opened.

Why commercial spaces present a different challenge

Residential rooms can be sealed off and left to air for 48 hours without consequence. A working office, shop or clinic can't. Low-VOC and zero-VOC waterborne paints are the single most effective tool available. Scheduling: the biggest lever you have

Product choice matters, but scheduling is where odour management actually gets done. Evening and weekend starts give waterborne paints 10โ€“16 hours to off-gas before staff arrive. That window matters. Even low-VOC paints emit the bulk of their fumes in the first 4 hours after application, so a 6 pm start means peak emissions happen while the building is empty.

Ventilation: what actually works

Opening windows is a start. It isn't a strategy. Effective ventilation in commercial spaces requires airflow direction, not just air movement. The goal is to draw fume-laden air out of the building, not circulate it through occupied areas.

Set up a push-pull system: a fan pushing fresh air into the painted zone from one end, with the opposite window or door open to let fumes exit. Position the exhaust point away from air intakes, other occupied areas and pedestrian paths on the street below. Product selection beyond VOC ratings

VOC content is printed on the label, but it's not the only variable. Some low-VOC paints contain glycol ethers or other compounds that contribute to odour at concentrations the VOC rating doesn't fully capture. Ask your painter to specify products by name and check the Safety Data Sheet (SDS) for each one. For floors, two-part epoxy coatings are high-VOC by nature. Waterborne epoxy alternatives exist and perform well in lower-traffic applications, but any epoxy floor coating in an occupied building requires at minimum 24 hours of ventilated off-gassing before re-entry. Schedule floor work for the end of the working week, not mid-week, regardless of the product used.

Primers are often overlooked in odour planning. A solvent-based primer under a waterborne topcoat will still generate significant fumes during application. Waterborne primers have improved considerably and are appropriate for most commercial wall substrates. Specify them from the start.

Communicating with staff and tenants

Occupants who know painting is happening and why certain areas are temporarily inaccessible are far more tolerant than those who arrive to an unexpected smell with no explanation. Send a brief note 48 hours before painting starts. Include which zones will be affected, the expected off-gassing period and who to contact with concerns.

Identify staff with known sensitivities, asthma or respiratory conditions early. Those individuals should be offered alternative work arrangements on painting days, even when low-VOC products are being used. It's a straightforward accommodation that avoids a much harder conversation later.

Post clear signage at the entry points to freshly painted zones: the painted date, the product used and the time after which normal access resumes. Painters should leave this information in writing, not just verbally, before leaving site each night.

When to bring in an air quality monitor
